Setting up your club
Walk through the Club OS onboarding wizard — club profile, membership structure, and first invites — to get your club ready in minutes.
Overview
The first time you sign in to Club OS, the setup wizard walks you through three steps: building your club profile, defining at least one membership type, and optionally inviting your first members. Completing the wizard takes about five minutes and unlocks the full admin panel. You can revisit and refine every setting afterwards — the wizard is a starting point, not a commitment.
Step 1: Club profile
The first step collects the core identity information for your club.
| Field | Required | Notes |
|---|---|---|
| Club name | Yes | Appears on the public join page, invoices, and notification emails. |
| Country | Yes | Determines the default currency and payment method for member registrations. Cannot be changed once any member has registered. |
| State / Region | No | Optional. Shown on your public page and used internally for filtering. |
| Sports | No | Select all sports your club runs. You can add or remove sports later from club settings. |
Click Continue to save your club profile and move to step 2. If you see validation errors, fix the highlighted fields before proceeding — the form will not advance until the required fields are valid.
Your club's URL slug is generated automatically from the club name. If the generated slug is already in use, a numeric suffix is appended (e.g. riverside-fc-2). You can customise the slug later from Club Settings.
Step 2: Membership structure
Step 2 is where you define how members will pay to join your club. At least one membership type is required before you can continue — the wizard will not advance with an empty list.
For each membership type, fill in:
- Name — what members see on the join page and their invoices (e.g. Junior, Senior, Family).
- Amount and Currency — the fee members will be charged.
- Billing period — Annual, Monthly, or One-time (the last supports optional installments).
Click + Add another type to add more rows. Any membership type created here can be edited, archived, or supplemented with additional types after the wizard completes.
For a full explanation of billing periods and installment plans, see Membership types.
Step 3: Invite members
The final step lets you send your first invitations before you even leave the wizard. Both methods are optional — click Finish Setup without filling in anything to skip and invite members later from the Members section.
Email invitations — paste email addresses into the text area, one per line or separated by commas. An invitation email goes out immediately to each valid address.
Import from CSV — upload a CSV file to bulk-create member records in one go. Download the template from the link on the page to see the expected columns. The import runs in the background, so you don't need to wait on the page.
Invalid email addresses are skipped and reported in a flash message after submission — valid addresses in the same batch are still sent.
After the wizard
Once you click Finish Setup, the wizard marks your Club OS account as onboarded and redirects you to your club dashboard. From there you can:
- Turn on the public join page so prospective members can apply themselves (off by default).
- Review and approve any applications that come in.
- Add more membership types, teams, or events.
The wizard will not appear again for this club. If you need to return to any of the settings you filled in, go to Club Settings from the club sidebar.
Edge cases / gotchas
- Session expires between steps. If you close the browser mid-wizard and return later, you will be sent back to step 1. Your saved club profile from step 1 will be pre-filled, but step 2 will start fresh.
- Membership types created in step 2 are real records. You can edit them afterwards from Memberships → Membership Types. If you created a type by mistake, archive it rather than deleting it once any invoices have been attached.
- Inviting members is optional. You do not need email addresses to finish setup. Members can always be invited, added manually, or bulk-imported after setup.
- Country is locked once members register. Choose carefully in step 1 — changing the country after even one member has a paid invoice is not supported. If you need to change it, contact support.
