Inviting game officials
Send invitations to referees, scorers, staff, and time-keepers — even if they don't have a StatsCentral account yet.
Overview
Game officials — referees, scorers, staff, and time-keepers — need access to your league so they can be assigned to games. If an official already has a StatsCentral account, a league admin can add them directly from the Members settings page. If they don't have an account yet, you can send them an invitation link that lets them sign up and join the league in one step.
This guide covers the invitation flow for officials who don't yet have an account.
Who can send invitations
Any league member with the Admin or Owner role can send game official invitations. Team managers and coaches cannot.
Sending invitations
- Go to your league's Settings page and open the Members tab, or click Add game officials on the setup checklist on your league dashboard.
- Click Invite Game Official in the top-right corner of the members section.
- Select the Role everyone in this batch will be given:
- Referee
- Scorer
- Statistician
- Staff
- Time-keeper
- Enter the email addresses — one per line, or separated by commas. You can send up to 50 at a time.
- Click Send invitations.
Each official receives their own email with a link to create their StatsCentral account. Once they sign up, they are automatically added to your league with the role you selected and land directly on the league dashboard — no wizard, no extra steps.
Inviting several officials at once
Everyone in a single submission gets the same role, so send one batch per role — for example, paste all your referees together, then repeat for your scorers.
If some addresses can't be invited, the rest still go out. You'll see a confirmation of how many were sent, plus a separate message naming the ones that were skipped and why (usually because they've already been invited to this league in that role). Nothing is silently dropped.
If every address fails, the form comes back with the problems listed and your text and role still filled in, so you can correct and resubmit without re-typing.
Tracking sent invitations
Open the Invitations page from the league sidebar to see the full list of sent invitations. Use the Game Officials tab to filter by official invitations.
Each invitation shows the recipient's email, their assigned role, who sent the invite, the date it was sent, and its current status.

| Revoked | The invitation was cancelled before it was accepted. |
Resending or revoking a pending invitation
From the Game Officials tab on the Invitations page, find the pending invitation and use the action buttons on the right:
- Resend — sends the invitation email again. Use this if the original email was missed or expired.
- Revoke — cancels the invitation immediately. The link in any previously sent email stops working. You can re-invite the same address after revoking.
Only pending invitations can be resent or revoked. Accepted invitations cannot be undone from this page — to remove an official from the league, edit or delete their member record from the Members settings tab.
Inviting the same official in multiple roles
Each invitation is scoped to a specific role. If an official needs to serve as both a Referee and a Scorer, send two separate invitations — one for each role. The duplicate-check only blocks the same email and role combination, so multiple roles for the same person are allowed.
Listing the same address twice in one batch creates a single invitation, not two.
If the official already has a StatsCentral account
When the official follows the invitation link, League OS detects the existing account and prompts them to sign in instead of signing up. Their member record is linked to the existing account automatically.
Alternatively, you can skip the invitation flow entirely and add them directly from Settings → Members → Add Member.
Troubleshooting
- "Has already been invited" — a pending or accepted invitation already exists for that email and role in this league. Check the Game Officials tab on the Invitations page to find it. Revoke the pending one if you need to re-send with a different role.
- Official didn't receive the email — use Resend on the Invitations page. Ask the official to check their spam folder.
- Official signed up but doesn't appear in the Members list — refresh the page. If they are still missing, check the Invitations page to confirm the invitation shows Accepted. If it still shows Pending, the official may not have completed sign-up.
