Managed players

Overview

In Club OS, a Parent / Guardian member represents an adult who is responsible for one or more players in your club — typically a parent signing their child up for a youth sport. The Managed players section on their member page shows which player members they are linked to via a guardianship.

What is a guardianship?

A guardianship is a link between a Parent / Guardian member and a Player member within the same club. It records the relationship so you know who to contact on behalf of a minor, and it lets a parent access their child's details through the Member Portal.

A single parent can be linked to multiple players (e.g. two siblings in the same club), and a single player can have more than one guardian linked to them.

How to link a player to a guardian

Both the parent and the player must already exist as separate members in your club before you can link them.

1. Open the parent or guardian's member page.
2. Scroll to the Managed players section.
3. Use the Add a player… dropdown to select the player member.
4. Click Link. The player will appear in the list immediately.

Only members with the Player member type appear in the dropdown. If the player you are looking for is not listed, check that they have been added to the club and that their member type is set to Player.

How to remove a link

Click Remove next to a player's name in the Managed players list. This removes the guardianship relationship only — it does not delete either member record from the club.

When does this matter?

• Communications — knowing which adult is responsible for a minor helps you direct important messages to the right person.
• Member Portal access — a parent with portal access can view their own membership details. Guardianship links can be used in future to give parents visibility into their child's schedule and events.
• COPPA / child safeguarding — for clubs that collect data on members under 13, the guardianship record documents the consenting adult on file.
