Viewing club invoices as a manager
Managers can read every invoice in the club from Club OS, without being able to raise them or record payments.
Overview
Members whose type is Manager get read-only access to the club's invoices in Club OS. This is oversight, not billing control: a manager can see what has been raised and what has been paid, but cannot change any of it.
Coaches and assistant coaches do not get this access. If a coach opens the invoices page they are returned to Club OS with an authorisation message.
Opening the invoice list
- Sign in to Club OS.
- Click Invoices in the sidebar.
You'll see every invoice in the club — not only your own. The list carries the same filters admins use:
| Filter | What it narrows by |
|---|---|
| Status | Unpaid, Paid, or Overdue |
| Member | A single member's invoices |
| Membership type | Invoices raised against one membership type |
Click any invoice to open it and read the full record: the member, amount, due date, membership type, notes, and the reminder history.
What managers cannot do
These stay with the club's admins:
- Raising a new invoice
- Recording a payment or marking an invoice paid
- Downloading an invoice PDF
- The Finance summary and Billing pages
The controls for them are not shown to you, so there is nothing to click by mistake. If you need one of these actions, ask a club admin — see Manual invoices.
Managing at more than one club
Invoice access follows the membership, not the account. If you are a manager at one club and a coach at another, you get Invoices at the first and not the second. Your permissions are resolved separately each time you open a club.
Troubleshooting
- Invoices isn't in the sidebar. Your member type is not Manager at this club. Ask a club admin to check it.
- An invoice you expected is missing. The list covers the whole club, so a missing invoice has not been raised yet rather than been hidden from you.
- You need to chase a payment. Reminders are sent from the admin side. Ask a club admin to issue one.
