Checking in attendees

Overview

The check-in scanner lets you verify and record attendee arrival at the door. Each confirmed ticket includes a unique QR code that is emailed to the attendee. Scanning the QR code — or searching by name — marks the attendee as checked in and records the timestamp.

Opening the scanner

1. Open the event from the Events list.
2. Click Attendees in the event navigation.
3. Click Scan tickets in the top-right corner.

The scanner page opens and activates your device camera. Point the camera at a ticket QR code to scan it.

You can also check in an attendee manually: type the ticket token or attendee name in the search box and click Check in.

What happens when you scan a ticket

Ticket status	Result
Paid	Attendee is marked Checked in — a success message is shown.
Already checked in	A notice is shown: "Already checked in." No change is made.
Pending / Refunded / Cancelled	An error is shown: "Ticket is not valid for check-in." Entry is denied.

Real-time attendance tracking

The attendee list on the event page updates automatically as tickets are scanned. The Checked in counter at the top of the attendees page reflects the current total.

Using multiple devices

Multiple staff members can scan simultaneously from different devices. Each scan is processed independently — the system prevents double check-in by checking the current status before updating.

Edge cases / gotchas

• Only paid tickets can be checked in. Pending offline-payment tickets must be approved first (see Managing attendees) before they can be scanned at the door.
• Check-in is irreversible from the scanner. Once an attendee is checked in, the status cannot be rolled back from the check-in screen. If a check-in was made in error, contact support.
• QR codes are per-ticket, not per-attendee. If an order includes a quantity of 3, all 3 attendees share the same QR code and ticket record. Scanning it once checks in all 3.
• The scanner requires camera permission. On iOS or Android, grant the browser camera access when prompted. If access is denied, use the manual search fallback instead.
