Sending portal access

How to issue or re-issue a member portal invitation so a member can log in to their membership area on StatsCentral.

Overview

The member portal is where members view their membership, download invoices, and manage their profile. Access requires a StatsCentral account linked to the member record. Sending a portal access invitation emails the member a link to create or connect their account.

You'll most commonly need this for:

  • Members added via CSV import (import doesn't send any emails).
  • Members who lost or missed the original activation email.
  • Members whose previous portal invitation was never accepted.

How to send portal access

  1. Open the member's record from Members.
  2. In the Portal access section, click Send portal access.
  3. Confirm.

An email is sent to the member's address with a link to set up their login. Any previously outstanding (unaccepted) portal invitations for that member are voided first, so there is only ever one active invitation at a time.

What the member receives

The email matches the access you are actually giving them, which depends on their member type:

Clicking the link:

  1. Takes them to a StatsCentral sign-up or sign-in page.
  2. After authenticating, links their account to the member record and opens the right app for their role.

Change a member's type before sending the invitation, not after — the email is written when you send it, so a member promoted to coach afterwards will have been sent to the Member Portal. Re-send the invitation to correct it.

Edge cases / gotchas

  • Member already has portal access. If the member's record is already linked to a StatsCentral account, the Send portal access button is not shown. Instead, a notice confirms that portal access is already active. There is no way to "re-link" a member account from the UI — contact support if a re-link is needed.
  • No email address on file. If the member record has no email address, the button is disabled with an alert. Add an email via the edit form before sending the invitation.
  • Only one pending invitation at a time. Clicking Send portal access again voids the previous invitation and issues a new one. If a member says their link didn't arrive, wait a few minutes for delivery before re-sending; once you re-send, the old link stops working.
  • The invitation link does not expire. It remains valid until the member accepts it or you send a new one (which voids it).
