Building a pick-up roster
How to add club members and walk-on guests to an open play session, and bulk-add everyone who RSVP'd.
Overview
The roster is who's playing tonight. A pick-up run mixes regular club members with walk-on guests who aren't (yet) members. The roster lives on the open play session page and feeds squads, box scores, and the leaderboard.
Adding a club member
- Open the session and find the Roster section.
- Under Add a member, choose someone from the dropdown.
- Click Add.
The dropdown lists active members who aren't already on the roster.
Adding a walk-on guest
- Under Add a guest, type the guest's name.
- Optionally add an email (used for a receipt if they pay a drop-in fee).
- Click Add.
Guests are session-only. Adding a guest never creates a club member and never records club attendance, so your membership list and attendance KPIs stay clean.
Bulk-adding everyone who RSVP'd
If members RSVP'd attending through their portal, you can add them all at once. When there are attending members not yet on the roster, an Add N attending members button appears at the top of the roster — click it to add them in one step.
Checking players in
Each roster row has a Check in action for when the player arrives. Check-in is separate from the RSVP and from club attendance — it only marks the player present for this session. Members can also check themselves in from their portal; see Capacity, waitlist & check-in.
Edge cases / gotchas
- A person is a member or a guest, never both. Pick one path per roster entry.
- No duplicate members. The same club member can't be added to a session twice.
- Removing someone. Removing a player who held a slot frees it and promotes the next person off the waitlist.
- Paid sessions. When the session has a drop-in fee, the roster gains a Payment column so you can see who's paid and settle cash at the door.
