Charging a drop-in fee
How to add an optional drop-in fee to an open play session, take online payments, and settle cash at the door.
Overview
A drop-in fee lets you collect court fees for a session — online, or as cash at the door. It's completely optional: sessions are free by default, and if your club already handles money elsewhere you can ignore fees entirely. A free session shows no pricing anywhere.
Setting a fee
- Open the session and find the Drop-in fee section.
- Enter an amount in your club's currency.
- Click Set fee.
That's it — one fee per session. You can Update the amount or Remove the fee later. Setting a fee doesn't make the session public; it stays private until you choose to list it.
How players pay
Online. When someone pays for a slot, their payment is recorded, they get a ticket/receipt by email, and they appear on the roster automatically with their ticket linked.
Cash at the door. For someone paying in person, add them to the roster, then use Mark paid on their row and choose Cash or Bank transfer. No online transaction is created.
Seeing who's paid
On a paid session the roster gains a Payment column showing each player as Paid · Cash, Paid · Card, and so on, or Unpaid. The Drop-in fee section shows total collected and how many players have paid.
Removing a fee
- Removing a fee with no sales deletes it and the session goes back to free.
- Removing a fee that has paid players closes it to new sales instead of deleting it, so those players keep their spot and their record.
- You can't remove the fee while the session is public — make it private first. For the same reason, you can't set a public session's fee to zero.
Edge cases / gotchas
- Free means free. With no fee set, there's no payment UI on the session at all.
- Guests can pay too. A walk-on guest with no email still settles fine; the receipt falls back to your club's address.
- A public session must have a fee. Listing a session publicly requires a paid fee first — see Listing a session publicly.
