Coaching tools in Club OS
What coaches, assistant coaches, and managers can do in Club OS, and where each tool lives.
Overview
If your club has you down as a coach, assistant coach, or manager, you work in Club OS alongside the club's admins — but with a much narrower view. You see the teams you are rostered on and the players on them, and nothing else about the club.
You do not need to own or create a club. Sign in with the account your club invited, and Club OS opens on the club you work at.
What you can see
Your sidebar carries only the sections you have access to:

Everything else — members, membership types, finance, announcements, content, club settings, billing — stays with the club's admins. If you follow a link or a bookmark to one of those pages you'll be returned to Club OS with a message explaining you're not authorised.
Your teams
Click Teams to see every team you hold a roster entry on. A team you are not rostered on will not appear, and opening one directly returns Team not found.
Open a team and you get:
- Coaching staff — everyone else working with the squad, and their role
- Upcoming sessions — the team's next events, each linking to its page
- Recent attendance — the last few sessions with a present-rate for each
- Roster — every player, linking to their player page
Adding or removing players, renaming the team, and changing its settings are admin jobs. Ask a club admin if a roster is wrong.
Opening a player
Click a player's name on the roster. Their page has three tabs:
- Attendance — every session they were marked at, and how
- Stats — their recorded stat entries, plus any open play stats
- Assessments — assessments recorded for them
This is a deliberately narrow page. Invoices, guardianships, portal access, and profile editing are not on it — those belong to the club's admins.
Parent/guardian members on a roster have no player page, so their names appear as plain text rather than links.
Recording a stat entry
- Open a player from your team's roster.
- Select the Stats tab.
- Click + Add entry.
- Choose a Stat type, enter the Value and the Date.
- Optionally add a Session label and Notes.
- Click Record entry.
The entry appears in the player's stats list straight away.
If you see No stat types configured yet, the club has not defined any metrics to record. A club admin sets these up under Metrics — see Stat types.
Recording an assessment
- Open a player and select the Assessments tab.
- Click New assessment.
- Pick an assessment template and the date.
- Score each attribute, adding per-attribute notes where useful.
- Add Overall notes for a general summary.
- Save.
You are always recorded as the assessor. Club admins can choose who an assessment is attributed to; staff cannot, and the Assessed by field is fixed to you. This keeps the record honest about who actually ran the session.
Sharing an assessment with the player or their guardian, downloading it as a PDF, and deleting it are admin actions. Ask a club admin to share a report once you're happy with it.
Marking attendance
- Click Events in the sidebar.
- Open a session for one of your teams.
- Scroll to the attendance register.
- Mark each player Present, Absent, or Excused.
- Click Save attendance.
Two things to expect:
- The register only opens once the session has started. Before then you'll see Opens when event starts. Come back when the session is under way or after it has finished.
- You only see your own players. For a club-wide event that isn't tied to a team, the register is narrowed to the players on the teams you coach, not the whole club.
Scheduling, editing, and cancelling events are admin jobs, as are tickets and RSVPs.
Posting to the team message board
- Open one of your teams.
- Click Message board.
- Type your message and click Post message.
Every active member on the roster gets an email with your message, and it is attributed to you by name.
Managers can read the board but not post to it. Only coaches and assistant coaches see the compose form. See Message board for how notifications work.
Viewing invoices (managers)
Managers — and only managers — get an Invoices item in the sidebar showing every invoice in the club. You can open any invoice and read it in full.
Raising invoices, recording payments, downloading invoice PDFs, and the Finance and Billing pages remain with the club's admins.
Working at more than one club
If you are staff at two clubs, Club OS opens on a list and you pick one. Your permissions are worked out per club, every time — being a manager at one club does not give you manager access at another.
If you have exactly one club, Club OS skips the list and takes you straight to your teams.
Troubleshooting
- A team is missing from Teams. You need a roster entry on it. Ask a club admin to add you to the team's coaching staff.
- You land on a create-a-club wizard. Your staff membership is not active. Ask the club to check your member status — suspended and expired memberships cannot reach Club OS.
- A page says you are not authorised. That surface is admin-only. The table above lists everything staff can reach.
- You need your own member view. If you are also a player or a parent at a club, open the Member Portal from the app switcher in the top bar.
