What a club manager can do
Managers run the club alongside you — everything except the club's own subscription. How to appoint one and what they see.
Overview
A manager is a club administrator. Appoint one when you want someone else to run the club day to day — approving applications, raising invoices, scheduling events, publishing content — without handing over your billing details.
Managers have the same access you do, with one exception: only you can change the club's subscription. That means the plan, the payment method and cancellation stay with you as the club owner.
This is different from a coach. Coaches see only the teams they are rostered on and the sessions those teams attend. A manager sees the whole club.
Appointing a manager
A manager needs three things before they can sign in: the Manager member type, an Active status, and portal access so they have an account to sign in with.
- Open your Club and go to Members.
- Click the member you want to appoint, then click Edit.
- Under Member type, choose Manager — Runs club operations.
- Click Save.
- Back on the member's page, click Send portal access if they have never signed in before.
They will receive an email with a temporary password. Next time they sign in, the club appears on their My Clubs page and opens on the club dashboard.
If the person is not yet a member of the club at all, add them first — see Inviting members — then set their type to Manager.
What a manager can do

Managers also post to any team's message board. Their posts appear under their own name, not the club's — so members can see who wrote it.
What only the club owner can do
Managers cannot touch the club's subscription:
- Choosing or upgrading a plan
- Changing the payment method
- Cancelling or downgrading the subscription
- Opening Settings → Billing, which is hidden from them entirely
If a manager hits a feature your current plan does not cover, they are told to ask you to upgrade rather than being sent to a page they cannot open.
Note that the Invoicing tab in Settings is available to managers. That tab holds your default invoice terms and reminder schedule — it is about invoicing your members, not about your own subscription.
Manager or coach?
Pick the role by what the person actually does, not by seniority:

Someone can be both in practice, but a member has one type. If a coach also runs club operations, make them a Manager and add them to the team rosters they coach — a manager with a roster entry still coaches those teams.
Removing a manager's access
You have two options:
- Change their member type back to Player, Coach or Parent / Guardian. They keep their membership but lose club administration.
- Change their status to Suspended or let the membership expire. This revokes Club OS access completely and immediately, including the content workspace.
Either takes effect the next time they load a page. There is no need to reset their password.
Troubleshooting
- The manager sees only Teams and Events. Their member type is still Coach or Assistant Coach. Open the member, click Edit, and choose Manager.
- The manager cannot sign in at all. They have no linked account yet. Open the member and click Send portal access — see Sending portal access.
- The club disappeared from their My Clubs page. Their membership is no longer Active. Check the status on their member record — see Member statuses explained.
- The manager cannot find Settings → Billing. That is by design. Subscription changes stay with the club owner.
- A manager was told to ask you to upgrade the plan. They hit a plan limit. Open Settings → Billing yourself to change the plan.
